Communication and Documentation Officer
Purpose of the Position
Communication and Documentation Officer will establish a structured communication and documentation strategy and operationalize it for efficiency and effectiveness; and will take the lead in strengthening the documentation systems. Lead branding, prepare communication materials and organize events that will ensure KAZ visibility. The Communication and Documentation Officer will work closely with all departments as well as ensure sharing information, communication and Documentation of reports, success stories and lessons learnt.
Key Responsibilities
A) Communications and Media Campaigns
i) Map out, strengthen and maintain media relations to create strategic partnerships in order to enhance Kids Alive Zambia’s visibility and public image in the country;
ii) Organize media briefings or meetings, events, and programme and project launches as required for visibility;
iii) Lead on external engagement with media houses;
iv) Facilitate the drafting, signing off and issuance of statements;
v) Develop, maintain and manage media contacts, enquires and press releases;
vi) Manage both traditional and social media platforms for Kids Alive Zambia by sharing the relevant information on its work;
vii) Support and coordinate media coverage of events to enhance visibility and publicity of Kids Alive Zambia’s activities.
viii) Communicate through various platforms and materials of Kids Alive program achievements, lessons learnt and best practice in order to deliver life’s essentials and with the same compassion and excellence that we would want for the children
ix) Assist in the strengthening of the advocacy portfolio through media to advance public awareness to fill the knowledge gap to enhance Kids Alive Zambia’s programming.
x) Lead in the production and dissemination of information at all relevant levels
xi) Participate in the development of branding and corporate identity initiatives
xii) Provide strategic advice and support to Kids Alive Senior leadership team and manage risks related to communication and media work.
xiii) In liaison with the Country Director lead internal communication and keep staff regularly informed of up-to-date ministry developments at global, country and community level through effective channels.
B) Information and Knowledge Management
i) Manage the production of quality photos and videos taken, stored and appropriately used in publications, news stories and other related materials in accordance with relevant policies;
ii) Work closely with other relevant departments documenting short visuals and videos of impact;
iii) In liaison with relevant departments design and ensure the effective gathering, packaging, management and utilization of critical information required to achieve country program goals, create external influence and publications to inform Kids Alive strategic direction.
iv) Advance the Christ-Centered core value that exists to witness the love of God through Jesus Christ by increasing voice of the children through media to realize their God-given potential;
v) In liaison with the relevant staff design and produce special informative programs on the child safety to educate the community or society about child sexual abuse and other forms of harm thereby affirmatively communicating the existing laws application to support child safety.
vi) Develop and implement a communication and documentation strategy consistent with the strategic direction of KAZ;
vii) Ensure that the Kids Alive Zambia branding policy and procedures are well internalized and shared with all staff to instill the value of contributing Kids Alive Zambia goals and objectives:
viii) Ensure that best practices, stories of change and case studies are produced and add and shared to support learning, fundraising and profiling with donors and sponsors.
ix) Coordinate the weekly file updates with pictures, progress reports, health records, pictures, etc
C) Media Monitoring and Reporting
i) Monitor the trends on traditional and social media on Kids Alive Zambia work for impact reporting
ii) With alertness report all relevant information to the senior leadership team to inform them of the developments and evaluation of communications activities and strategies;
iii) Ensure that proper systems and mechanisms are in place to facilitate corporate communications and branding.
iv) Ensure that platforms like Teams utilized for information sharing and ministry learning.
v) Evaluate and implement the communications methods and practices to contribute to an improved flow of information about Kids Alive work to the media and stakeholders.
vi) In liaison with the Country Director provide strategic leadership and coordination on communication processes while ensuring they are in line with the Kids Alive Zambia vision, mission and strategic plan at any given time.
Minimum Education, skills, competencies and Experience
- BA degree in Journalism, Mass communication, Literature, English or equivalent in related discipline
- Minimum 2-3 years’ experience in public relations, Information Management and documentation
- Committed to child protection and participation;
- Open minded and sensitive to the views and needs of others;
- Creative, innovative and open minded to new ideas;
- Clear and systematic thinking that demonstrates good judgment;
- Have a great capacity for organization, synthesis and report writing;
- Strong written and verbal communications skills;
- Good analytical and influencing skills;
- Ability to communicate with a range of internal and external stakeholders;
- Strong verbal and written reporting skills;
- Ability to work in multidisciplinary teams;
- NGO operational understanding and exposure;
- Ability to foster positive working relationships with diverse organizations;
- Strong computer skills; Word Processing, Publisher and power point presentation
- Visual, video editing and branding will be added advantage
