PEAS (www.peas.org.uk) is a fast-growing charity with a mission to ‘expand access to sustainably delivered quality secondary education across Africa’. We run the fastest-growing network of sustainably financed secondary schools in Africa.

At PEAS, we are passionate about delivering quality education at a low cost, can educate the poorest rural communities in Zambia, and replicating our model across other communities. We work closely with the Zambian Ministry of General Education (MOGE) helping to achieve their national goals and have partnered with the MOGE to build an exemplary network of secondary schools in Zambia.

2.) Headteacher 

Job Title: Headteacher
Location:  Ndola, and Chilundu.
Reports to: School Suport Officer

To provide effective, dynamic, and inspirational leadership in order to enable PEAS school to fulfill its agreed education outcomes.

Key Responsibilities

A.) Teaching and Learning

  • Drives enrolment to ensure the school is full to capacity;
  • Provides access to sustainably quality teaching and learning and accounts for teacher and student performance;
  • Manages sustainability at the school through IGAs and cost-efficiency;
  • Provides effective support and supervision to ensure improvement in student outcomes;
  • Designs and implements strategies to promote quality education for every child;
  • Constantly monitors classroom teaching and assessment data to inform how best to support students and uses this data to effectively engage learners and parents in the learning process.

B.) Education Management

  • Drives high-performance expectations and positive school culture for the Deputy Headteacher and teachers to be effective and innovative;
  • Promotes an atmosphere of caring and trust among PEAS staff, setting the tone for respectful interaction with students, and demonstrating a willingness to change practices in the light of new understandings;
  • Establishes a school structure that promotes participative decision-making, supports delegation and distributive leadership, and encourages teacher decision-making autonomy along with the Head Teacher;
  • Works toward whole-staff consensus on school priorities and communicates these to students and staff to establish a strong sense of overall purpose;
  • Oversees all Education Targets and SIP reports to the Parent Organization and the Board;
  • Ensures Performance management of Deputy Head Teacher, Teachers, and non-teaching staff.

C.) Leadership

  • Develops and maintains active and productive relationships with PEAS central office, Region office, Board members (BoG), PTA School Staff, and Student Council;
  • Leads the development of an annual School Improvement Plan and supports Deputy Head Teacher and other staff to realize SIP performance targets;
  • Ensures schools are in compliance with all applicable PEAS and Ministry of General Education and other government regulations;
  • Works with the core office finance department to develop and implement systems of checks and balances to measure operational efficiency;
  • Ensures the school is in compliance with the school management contracts and receiving monthly financial school grants;
  • Works with School Management and PEAS regional office on staff recruitment by identifying potential new teaching and non-teaching staff.

D.) Finance Management

  • Ensures school sustainability through developing and managing the school budget strategically to achieve school objectives whilst ensuring value for money;
  • Attracts income, from a variety of sources, including through maximizing school fee collection, so as to ensure that the PEAS school will become self-sustaining after the initial period without compromising Teaching and Learning;
  • Co-signs all school accounts together with the Head Teacher;
  • Accountable for all school management financial reports and data as specified from time to time by the PEAS core office and the RPM.

E.) School Infrastructure Development

  • Supports all development projects and operations within the school;
  • Establishes a Preventive Maintenance System and ensures a safe learning environment.

F.) Governance

  • Works with the PEAS School Board of Governance, Parents Teachers Association, and the Head Teacher to develop strategies to initiate and meet aspirational school goals;
  • Works together with the Community and develops training for BoG and other leadership structures;
  • Assumes responsibility for all development reports to the Board and other agencies, and attends all Board meetings together with the Deputy Head Teacher.

G.) Community Engagement

  • Works with the school management team to develop and execute community outreach plans to increase student enrolment and student populations in PEAS school;
  • Works closely with the SSO to develop and implement community engagement plans and school advertising plans to promote a positive image of the school within the community;
  • Develops and implements strategies to promote PEAS School’s mission to both the internal constituencies of the school and the community at large.

H.) Contribution to the PEAS Network

  • Participates in the induction and orientation of new members in the PEAS ethos and culture;
  • Takes initiative to share learnings and good practices with new PEAS school management teams;
  • Establishes new links with external partners, and builds upon existing relationships, in order to promote PEAS schools’ model experience.
  • Shares ideas with PEAS and non-Peas schools on the best practices

I.) Other assignments

Performs all other duties as may be assigned from time to time by SSO and other PEAS Leaders.

Professional Qualifications and Experience

Minimum Requirements:

  • Masters/ Bachelor’s Degree in Education
  • Teaching experience (minimum 3 years)
  • Management experience in school (minimum of 2 years)
  • Qualified teacher status, registered with the Teaching Council of Zambia
  • Working experience in the education sector in Zambia with exposure preferably at a secondary level
  • Knowledge of working with a wide range of students

Desired Requirements:

  • Post Graduate Training in Educational Administration, Curriculum Development, or a related field.

3.) Deputy head teacher 

Job Title: Deputy headteacher
Location:  Ndola.

Reports to: Headteacher
Job Purpose:
To provide effective, dynamic, and inspirational leadership to enable PEAS schools to fulfill its agreed education outcomes.

Key Responsibilities

A. Teaching and Learning

  • Teaches a class and models good teaching and learning practices for staff.
  • Develops a continuous professional development program for staff in collaboration with the Head of Studies.
  • Implements strategies to promote quality education for all children.
  • Plans annual teacher conferences in collaboration with the regional offices.
  • Constantly monitors classroom teaching and assessment data to inform how best to support students and uses this data to effectively engage learners and parents in the learning process.

B. Education Management

  • Drives high-performance expectations for PEAS students and teachers to be effective and innovative;
  • Promotes an atmosphere of caring and trust among PEAS staff, setting the tone for respectful interaction with students, and demonstrating a willingness to change practices in the light of new understandings;

  • Ensures the effective functioning of subject departments, including through the organisation of heads of department meetings at least 3 times a term;
  • Oversees and supports the provision of a programme of co-curricular activities and career guidance that meets the needs of all students, including marginalised girls;
  • Adheres to the PEAS Disciplinary Code of Conduct and ensures that ALL staff are informed and enacts the Child Protection Policy;
  • Takes overall responsibility for the welfare and wellbeing of every student and staff member at the school, including through the effective management of Child Protection incidents in line with the PEAS Child Protection Policy;
  • Manages and conducts induction programmes for new staff members, BoG and student council;
  • Serves as the primary point of contact for MoGE officials and in conjunction with the head teacher and RPM.

C. Leadership

  • Works closely with the Headteacher to develop and manage the school budget to achieve school objectives whilst ensuring value for money and school sustainability;
  • Co-signs all school accounts together with the Headteacher;
  • Accountable for all school management financials, Per Pupil Subsidy Grant reports and data as specified from time to time by the Headteacher as part of financial reporting to MoGE and Ministry of Finance;
  • Collates departmental resource requirements and prioritizes requisition and procuring necessary materials cost-effectively from reputable suppliers in consultation with the head teacher and HoS.

E. Governance

  • Works with the PEAS Core office, Board of Governance, Parents Teachers Association and the Headteacher to develop strategies to initiate and meet school goals, objectives and School Mission;
  • Assumes responsibility for all teaching and learning reports to the Director and other agencies, and attends all board meetings as the secretary;
  • Assists the Headteacher with recommending and researching potential new members of staff.

F. Contribution to the Network

  • Establishes new links with external partners, and builds upon existing relationships, to promote PEAS school’s model experience;
  • Participates in the induction and orientation of new staff members,, BoG and Student Council in the PEAS ethos and culture;

4.) School Accountant 

Job Title: School Accountant
Location: Mungwi.

Reports to: Headteacher
Job Purpose:
The Role of the School accountant is very diverse as the person managing this position is required to manage and account for school finances, thus the position requires the school accountant to be flexible, solutions focus, and be able to apply energy and enthusiasm to all aspects of the role. The candidate will need to be a team player capable of and willing to support colleagues where needs arise.

FINANCIAL RELATED DUTIES

A.) Income Management

  • Issues Invoices to all the students in QuickBooks on a termly basis, to ensure that income is properly accounted for
  • Ensure that receipts are issued timely to students as and when money is received from them and the corresponding entries are made in QuickBooks.
  • Recognise a prepayment for all income received in advance to ensure proper accountability
  • Maintain an up-to-date student ledger for all the students and ensure that the ledger corresponds to the class registers
  • Work with SLT to achieve a target of 100% on school fees collection (Boarding )
  • Ensure that All income collected at the school is properly accounted for by making sure that it is properly receipted and banked, this includes but not limited to:
    • Income collected from school fees (Both Day and Boarding)
    • Income from IGAs
    • Sale of uniforms
  • Another income that is made available to the school through any other means i.e., Contributions

B.) Expenditure management

  • The school accountant is responsible for budget monitoring at school level therefore should ensure that expenditure is in line with the budget
  • Ensure that a proper channel is followed before any payment is issued. The process being:
  • A requisition raised for all payments by the responsible dept
  • A requisition is checked and authorised by the head teacher
  • Ensure that all payments are supported with the necessary documentation
  • Maintain a proper stock management system to ensure efficient utilisation of resources.
  • Reconciliation of stock to before any requisition is authorised
  • All Payments should be posted into QuickBooks as soon as possible (all payment should be properly coded with cheque numbers and stamped paid & Posted)
  • All Payments made should be retired within a week of payment being issues

C.) Petty cash Management

  • Handle petty cash for the organisation
  • Properly check the relevance of all petty cash requisition before money is issued
  • Ensure that the requisition is approved before money is given out to any individual
  • Ensure that Petty cash is retired with supporting document within two days of money being released
  • Properly reconcile petty cash with impress before making a new requisition
  • Ensure that all petty cash retirement is properly filed for future reference
  • School reports
  • The assistant accountant shall be responsible for preparing the following reports at school level
  • On a Monthly basis the school bursar shall prepare the income statement, balance sheet in QuickBooks and a backup to the FOA before or on the 3rd of the following month.
  • Bank reconciliation in QuickBooks
  • Reconciliation of debtors in QuickBooks and in the student ledger (recommend to the Finance and grants manager possible write off.)
  • Ensure that the undeposited account on the balance sheet is properly reconciled and is always at Zero
  • Cashflow forecast to monitor the cashflow position of the schools
  • Payroll reconciliation to ensure that all liabilities have been properly recognised in the balance sheet.
  • Work with SLT to come up with a school budget during the planning and budgeting process
  • Maintain an updated fixed asset register at school level and ensure all school assets are properly maintained
  • Any other reports requested either by the school or central office.

D.) PROCUREMENT AND SUPPLIERS

  • Follow the guidelines of the PEAS Zambia Procurement Committee to ensure strict procurement discipline and compliance with PEAS-Zambia procedures.
  • Collect three quotations whenever procurement is required
  • Arrange procurement meetings to analyse the quotation
  • Review all the quotations and highlight the pros & cons of each quotation to the procurement team
  • Take note of recommendations whilst in the meeting
  • Help manage relationships with suppliers and ensure that payments are made according to PEAS financial procedures.
  • Make a request for approved quotation and commence the process of buying
  • Banking & statutory Payments
  • Banking for all income collected should be done as soon as practicable (Not less than 48 hours of receiving income)
  • Act as an agent for the organisation for all banking requirements i.e., withdraw and deposits
  • Ensure that all statutory payments are paid before the 10th of every month (Through online banking)
  • Ensure that all new employees are registered with NAPSA and ZRA
  • Attend to any queries from Napsa on behalf of all the employees
  • Filling
  • Ensure that all Payments are deposits are properly filed in the respective folders
  • Support Other departments with Filling as and when required
  • Ensure that all official Document are Properly filled both in Hard copy and soft copy

E.) Cash Management

  • The Assistant accountant should ensure that the school should not hold more than enough cash at any time. (thus, banking should be done within 48hrs)
  • The assistant accountant should advise all students to pay through the bank and should at all cost avoid cash receipts.
  • All payment should be made by cheque or online transfer unless otherwise it is not feasible to do so
  • Employee salaries should be made through bank transfers (No employee should be paid cash)
  • Any Other Duties Assigned by the superiors in line with PEAS work

5.) Assistant Construction Supervisor 

Job Title: Assistant Construction Supervisor
Location: Ndola.

Reports to: Construction Manager

Duties And Responsibilities

  • Observe the quality and progress of the construction on projects to determine in general that it is proceeding in accordance with the Contract Documents;
  • Monitor the construction progress and assist in the preparation of progress reports as required by the PEAS;
  • Review Contract Documents with the Contractor’s supervisors so as to have a complete understanding of the scope of the project;
  • Collaborate with the Construction Manager to evaluate the contractor’s suggestions and assist with making a final decision;
  • Attend project meetings as PEAS representative and report to the Construction Manager in writing on the proceedings;
  • Tests required Contract Documents. Review testing invoices, if any, to be paid by PEAS;
  • Maintain records at the construction site or as directed by the Construction Manager in accordance with the PEAS procedures;
  • Maintain a logbook containing, project progress and reports and submit reports on the progress of the Contractor’s work to the Construction Manager;
  • Review applications for payment submitted by the contractor with the Construction Manager and assist in making recommendations related to payments;
  • Assist the Construction Manager in reviewing the list of items to be completed or corrected with is submitted by the Contractor with a request for issuance of a Certificate of Substantial Completion;
  • Assist the Construction Manager in reviewing the documentation and record documents to be furnished to the PEAS by the Contractor upon completion of the work;
  • Conducting site safety inspections when the work is underway and ensuring compliance with health, safety, and environmental regulations;
  • Ensure that the contractor adheres to the Child Protection Policy;
  • Assist in obtaining permits from local authorities and planning offices;
  • Measurement and Valuation of works in progress;
  • Carry out Health and safety in schools by;
  • Ensuring that the physical environments for teaching and learning are conducive;
  • Ensuring that there is safe drinking water and adequate sanitary facilities for all students and teachers;
  • Ensuring that children with disabilities have access to all facilities;
  • Ensure timely response to any Health and safety hazard;
  • Responsible for maintenance in schools by;
  • Ensuring that all schools and other education infrastructure are kept in a state of repair and properly maintained;
  • Ensuring that there is a timely response to urgent maintenance needs;
  • Carrying out regular inspections of schools and planning for any maintenance needs.

Qualifications

  • Full Grade 12 Certificate
  • Diploma or Degree in either Construction Management, Civil Engineering, Quantity Surveying, or Architecture
  • Minimum of two (2) years’ work experience in a similar role
  • Carry a valid driver’s license and a clean driving record
  • Can manage to work outdoors and out of town for long periods of time
  • Knowledge of construction industry safety regulations.
  • Excellent communication skills.
  • Exceptional ability to monitor construction project budgets and deadlines.
  • Ability to closely collaborate with other construction project stakeholders.
  • History of professionalism, being a team player, adhering to project schedules, regular attendance at work, and a strong work ethic
