Purpose of the role:
To provide administrative support to the Service Manager by ensuring documentation of quotes, projects and invoicing in the service department is in line with the company goals and procedures.
Reports to: Assembly Manager/Site Manager
Branch: Kansanshi
Duration: One (1) Year
Key Duties and Responsibilities:
The Site Service Administrator will be required to perform the following tasks:
Quality Assurance and Administration
Request from customers received and project opened;
Ensure factors from the technician to do a quotation received;
Ensure signed order from customers invoiced;
Ensure invoiced job to the Service Manager submitted for closing;
Ensure closed job for future use and references filed.
Support and Safety Assurance
Receipt the buyout components repaired other companies;
Health and Safety standards, regulations and procedures adhered to at all times;
Correct PPE worn at all times;
Daily assessments to ensure good housekeeping.
Customer relations
Maintain and enhance Customer relations;
Quotes from Re-man plant in Lusaka forwarded to customers;
Queries resolved quickly and effectively;
Ensure customers are satisfied.
Administration
Process job requests
Approved quotes from transporters collected and given an order.
Qualifications & Experience
Grade 12 Certificate.
Diploma in Administration and Business Studies.
Three (3) years administrative experience in a similar industry.
Job Specific Competencies
Proficient in computer (Excel, word and power point).
Good interpersonal and communication skills.
High degree of accuracy and attention to detail.
Team Leadership.
