EXAMINATIONS COUNCIL OF ZAMBIA
EMPLOYMENT OPPORTUNITY
The Examinations Council of Zambia (ECZ) was established by an Act of Parliament No. 15 of 1983, Chapter 137 of the Laws of the Republic of Zambia to set and conduct Examinations and award Certificates and diplomas to successful candidates. The vision of the Council is to be an Educational Assessment Body of Excellence.
Applications are invited from suitably qualified and experienced candidates to fill the following vacant position at the Examination Council of Zambia Headquarters.
ADMINISTRATIVE OFFICER – (1), GRADE ECZ 5
Reporting to the Council Secretary, the Administrative Officer will provide administrative and secretarial services support to the Council and its committees as well as Management meetings for smooth and effective operations of the Council Board.
DUTIES AND RESPONSIBILITIES
- To manage the boardroom facilities.
- Supervise the provision of refreshments/tea and cleaning of the boardroom.
- Maintain the diary for the boardroom by planning and scheduling meetings.
- Draw stationery and other office supplies from stores for use in the boardroom.
- Maintain all office machinery and equipment and facilitate the servicing of the machines.
- Taking dictation and minutes for the Council or Committee and Management meetings as assigned.
- Type minutes and prepare correspondences, reports and documents for meetings.
- File documents as per agreed systems and procedures to facilitate good, secure record keeping.
- Maintain confidentiality of all Council and Management documents.
- Organise and maintain minutes files; monitor meeting calendars, and document actionable.
- Initiate logistical payments for Council and Committee members when attending meetings.
- Coordinate some activities and affairs of the Council (Board) and Committees on behalf of the Council Secretary
- Set targets and agree to performance measures to meet the strategic objectives of the institution.
MINIMUM QUALIFICATIONS AND EXPERIENCE
- School Certificate or its equivalent
- Diploma in Secretarial Studies (with 100/55 WPM) or Administrative or Business Studies.
- Minimum of 2 years’ experience.
- Paid up Member of a relevant professional body.
