Job Description: Finance and Admin Officer
We are seeking a highly organised and detail-oriented Finance and Admin Officer to Rivuuz. As a Finance and Admin Officer, you will play a crucial role in managing financial operations and providing administrative support. Your primary focus will be on financial tasks such as billing clients for construction jobs, doing periodic reconciliations, and managing accounts payable and receivable. Additionally, you will handle various administrative responsibilities to ensure the smooth functioning of our daily operations.
The ideal candidate should possess a strong understanding of financial processes, exceptional organizational skills, and proficiency in using and learning new. This is a full-time position in a fast-paced and highly collaborative work environment.
The day-to-day job involves:
1. Financial Operations:
· Billing and Invoicing: Prepare and send accurate and timely invoices to clients for construction jobs completed on the marketplace platform.
· Accounts Payable and Receivable: Manage accounts payable and receivable processes specific to construction jobs, including invoice verification, payment processing, and collection efforts.
· Financial Record Keeping: Maintain accurate and up-to-date financial records using Zoho Books accounting software including general ledgers and job-specific financial records.
2. Financial Reporting and Analysis:
· Prepare and analyse financial statements related to construction jobs, such as job profitability reports and job costing analyses.
· Generate financial reports on a regular basis for internal analysis and external stakeholders.
· Conduct financial analysis to identify trends, variances, and opportunities for improvement in construction job financials. Provide insights and recommendations to management based on financial data.
3. Budgeting and Forecasting:
· Collaborate with the rest of the team to develop and monitor budgets and financial forecasts
· Assist in identifying areas of improvement and cost-saving opportunities.
4. Statutory Compliance:
· Ensure compliance with relevant government authorities including but not limited to ZRA, NAPSA, NHIMA, PACRA, Worker’s Compensation, etc.
· Prepare and file statutory returns relevant to Rivuuz’s business structure
5. Administrative Support:
· Provide administrative support to the team, including managing office supplies, coordinating meetings, and handling correspondence.
· Assist with HR-related tasks, such as employee onboarding, maintaining personnel records, and coordinating employee benefits.
Requirements:
· Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
· Proven experience working in finance and administration roles, preferably within a startup or construction company.
· Strong understanding of financial processes, accounting principles, financial statements, and tax regulations.
· Experience with (or ability to very quickly learn) Zoho Book accounting software
· Proficiency in using software such as MS Office (especially Excel) for financial analysis, reporting, and administrative tasks.
· Excellent organizational and time management abilities to meet deadlines and prioritize tasks effectively in a fast-paced environment.
· Strong attention to detail, accuracy, and ability to work with numerical data.
· Exceptional written and verbal communication skills.
· Ability to work independently and collaboratively in a team environment.
· Experience with billing clients for construction jobs and reconciling construction-related financial transactions is highly desirable.
· Familiarity with online marketplaces or construction industry operations is an added plus.
