Job Purpose
The Depot Supervisor will help the Depot Manager in the smooth, safe and efficient running of the depot by ensuring that all stocks are accounted for, adherence to operating procedures by all staff at the Depot. Manage data relating to customer consumption reports and stock management reconciliations and assist the Depot Manager in ensuring that activities relating to product receipts, transfers, sales, stock on hand and stock losses are properly managed in safe working conditions in accordance with the HSEQ policies and guidelines as directed by the Depot Manager. Participate fully in implementing initiatives and programs at the depot and ensure that the depot is in full compliance with the HSEQ guidelines, procedures and policies to safeguard the interest of the Company, its customers and other stakeholders.

 

 

Summary of Key Responsibilities;

  • Participate fully in the implementation of ONE MAESTRO system and ensure that Depot fully observes the safety golden rules. This will involve ensuring that all the areas on the Depot around the offices, tank farm area, equipment and the environment are properly maintained, kept in good, sound, safe and efficient working condition and that they comply with legislative requirements where applicable.
  • Ensure that all the depot tanks are dipped on daily basis and at the end of every shift.
  • Ensure that all product dispatched to Kansanshi Depot is safely offloaded and accounted for.
  • Ensure safe issuing or transferring of product to customer equipment as directed by the Depot Manager and in accordance with the Depot operating procedures and HSEQ policy and guidelines
  • Compile dip converted volumes and circulate the daily stock position report and liaise with the Depot Manager on the orders to be placed in order to replenish stock.
  • Compile Offloaded Volumes Schedule for import & local trucks and submit to the Depot Manager
  • Prepare sales report for circulation to the customer in comparison with the Fuel management system
  • Consolidate and independently reconcile the movement in stock relating to product received, stored, transferred and issued to the customer according to standing procedures and policies in an HSEQ controlled environment.
  • Perform independent checks on the meter readings, dip readings and the electronic readings stock records for the product received in the system (or manual reports) including reconciled records for issues as per totalizer readings, meter readings, and dip readings.
  • Any losses and gains incurred as in-transit, working or sales related should be investigated and reported to the Depot Manager immediately
  • Attend to all the administrative issues related to the depot operations and any other duties as may be delegated by the Depot Manager.
  • Compile and arrange data in a readable form. Compare manual data with the FMS and reconcile with the meter readings on daily basis and investigate any variances.
  • Analyze and comment on the reconciled FMS data to ensure that there are no anomalies and compliance to the set consumption patterns, submit to the Depot Manager for review and send to the customer on a daily basis.
  • Ensure that all the maintenance documents and registers on Depot are timeously and accurately completed and filed.
  • Ensure a good working relationship is maintained with FQM on matters such as maintenance, stock management, and quality control with a quick and effective response to all queries.
  • Manage the plant’s operating expenditure through regular budget monitoring to ensure a reduction in costs to improve the profitability of the Company.
  • Ensure that all the depot tanks are dipped on daily basis and at the end of every shift.
  • Ensure safe issuing or transferring of product to customer equipment as directed by the Depot Manager and in accordance with the Depot operating procedures and HSEQ policy and guidelines.
  • Assist the Depot Manager in implementing initiatives and programs at the depot and ensure that the depot is in full compliance with the HSEQ guidelines

Primary Areas of Accountability:

Qualification and Experience

  • Full Grade 12 Certificate
  • Diploma in Engineering, Safety or Environment Management Studies
  • Must have a minimum of 2-3 years in Oil Depot Management or Operations
  • Must be well vested in Oil Safety Management
  • Relevant experience in business and Mining Operations is an added advantage.
  • Must be a member of EIZ
