JOB SUMMARY
To coordinate front-desk activities, first point of contact for all visitors and guests at the company premises with duties that include offering administrative support across the organization.
JOB SPECIFICATIONS
- Responsible for taking in-coming and out-going telephone calls and messages
- Sort incoming mail, faxes, and courier deliveries for distribution to appropriate persons.
- Performing general office duties and secretarial tasks.
- Maintenance of Reception and guest areas
- Greeting and receiving all company visitors in a professional and friendly manner.
- Attend to general phone inquiries in a professional and courteous manner.
- Respond to general information requests with the accurate information.
- Dispatch, receipt and delivery of office documents
- Preparation and maintenance of courier delivery records
- Assisting in the supervision of office assistants
- Assisting in the maintenance of the building cleanliness and property maintenance
- Assisting with the building security and adherence to company safety procedures and policies
- Assisting with Administrative tasks as delegated by supervisors
- Assisting with raising of requisitions.
MINIMUM ENTRY REQUIREMENTS
- Minimum diploma in Business Administration or related field with proven experience as Receptionist.
- Full Grade Twelve Certificate
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping
- Problem solving and analytical skills
- At least three (3) years of relevant experience
- Excellent customer service skills and phone etiquette
- Proficiency in MS Office
- Knowledge of operation of standard office equipment
OTHER SKILLS AND ATTRIBUTES
- Proactive, resourceful and results-oriented
- Professional demeanour
- Good communication skills with working knowledge of some local languages
- Good spoken and written English.
