QUALIFICATIONS & EXPERIENCE
Minimum Required Qualifications and Experience:
- Grade Twelve Certificate
- Bachelor’s degree in human resource management, Business Administration, Social Science or related qualification.
- 3 years of HR generalist work experience.
- Strong knowledge of Zambian labour laws.
- Experience working in a fast-paced environment.
- Paid up member of the Zambia Institute of Human Resources Management.
Desirable Experience:
- 5 years of HR generalist work experience.
- Experience working in a USAID funded project will be an added advantage.

KEY PERFORMANCE AREAS
Recruitment
- Administer and control recruitment assignments as assigned and in accordance with the company’s recruitment policy and recruitment checklist.
- Update recruitment tracker with all recruitment progress.
- Conduct relevant pre-employment checks prior to issuing offer letters and contracts of employment.
- Produce and issue offer letters and employee contracts and agreements to successful applicants and regret letters to unsuccessful interviewees.
Performance Management
- Facilitate and control the company wide Performance Appraisal requirements in accordance with the annual deadlines.
- Facilitate with Line Managers to make changes on the Performance Management Database as required.
- Keep track of probation dates for new starters and facilitate probationary performance reviews in accordance with company policy.
- Provide support and guidance to line managers and staff on company performance management systems.
Onboarding and Offboarding
- Review and facilitate companywide induction for new and existing employees.
- Ensure all terminated employees are de-registered from all institutions that Right to Care has employee activity with e.g., medical insurance providers, etc.
- Conduct exit interviews for employees resigning from employment.
- Prepare termination of service checklist for terminated employees for payroll processing.
- Maintain a database for all closed files.
- Close and archive all terminated employee files accordingly.
Employee Relations and Industrial Relations Support
- Provide support as and when requested on Industrial Relations matters.
- Provide support and sit in disciplinary cases for staff members by ensuring compliance to the disciplinary case checklist before proceeding for all case hearings.
- Attend to staff grievances and complaints and ensuring that the company grievance procedure is followed.
Compensation and Benefit Administration
- Ensure that all newly engaged starters are loaded on payroll by meeting the required deadlines.
- Ensure that all manual time and activity sheets are submitted to payroll and working hours on time.
- Ensure that all changes such as change of bank details, medical adjustments and any others are submitted to payroll before the deadlines.
- Facilitate medical insurance registrations and terminations, funeral grant, life insurance and workers compensation claims.
System Management
- Administer the company HRIS’ including but not limited to Time and Attendance systems, SAGE 300 and ESS.
- Ensure all new starters ESS accounts are activated and all line manager and leave approver changes are effected timeously.
- Provide HR support and training to staff in line with company policy.
General HR Administration and Reporting
- Ensure that job descriptions are reviewed by Line Managers annually and changes are signed and accepted by all parties.
- Ensure that every team member has a signed job description on their employee file, that job titles are correct, and changes are communicated to payroll.
- Ensure that all departmental organograms are signed off by the Departmental Head and changes are updated.
- Ensure that jobs are graded correctly, and the correct remuneration levels are applied.
- Coordinate immigration logistics for expatriate staff, consultants and visitors. Facilitate the processing of permits, visa’s and invitation letters.
- Work with the HR team members in the facilitation and implementation of ad hoc HR projects.
