St Ignatius College is looking for a hardworking, proactive, and organized individual to fill the position of Administration Officer. This is a dual position where you will be required to give support to the finance department and handle some human resource matters. A qualified candidate must have a combination of finance/business knowledge and/or HR/public administration knowledge.

KEY RESPONSIBILITIES

  • Assists in audits and preparation of financial statements.
  • Assist in monthly, quarterly, and annual reconciliations.
  • Accurately post transactions into the accounting system.
  • Manages the Fixed Asset Register.
  • Preparation of monthly payroll and remittance of statutory obligations such ZRA, NAPSA, NHIMA, Worker’s Compensation, and ensure they are timely submitted.
  • In collaboration with our payroll provider, manage the payroll process, including ensuring all payroll deductions and taxes are correct.
  • Manages insurance of corporate assets.
  • Assist in budget preparation.
  • Assist management to determine financial risks that may affect the day-to-day operations of the college.
  • Ensure compliance with statutory requirements through a monthly compliance checklist submission to the College Principal.
  • Assist with debt collection.
  • Ensures that finance documents are adequately filled for easy reference.
  • Assist in preparation of payments that are approved for payment by School Management.
  • Process background checks in accordance with school policy for employees and volunteers.
  • Assist in the preparation of student invoices.
  • Lead the recruitment process (both internal and external), including job postings, interviews, and onboarding of new employees.
  • Coordinate communication with prospective candidates and schedule interviews for recruitment purposes.
  • Preparation of contracts for new employees, renewals for old employees.
  • Stay informed about relevant labor laws and financial regulations.
  • Maintain employee records, including attendance and leave.

MINIMUM REQUIREMENTS AND QUALIFICATION

  • Grade 12 School Certificate with 5 credits including English and Mathematics.
  • Diploma/Degree in Business/Public Administration or any related field.
  • ZICA CA/CIMA/ACCA Part Qualified.
  • As a member of member of the Zambia Institute of Human Resource Management will be an added advantage
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically) and office equipment (Knowledge of working with Pastel accounting system will be an added advantage).
  • Proficient knowledge in Payroll administration.
  • 2 to 3 years of relevant work experience.
