Job Description

Context : in order to strengthen the logistics functions at LDC Kabwe in Zambia, the operations need to oversee loading and offloading of commodities, ensuring proper coordination with transporters, drivers, support staff, suppliers and clients to facilitate smooth and timely loading and offloading functions with a high level of accuracy.

Provide support to the logistics department by assisting with tasks related to inventory management and supply chain operations at an assigned commodity site to ensure availability of correct quantity of stock, reduction in stock losses and customer satisfaction with timely deliveries.

Main duties :

As Logistics Assistant for the Kabwe operations, you will report to the Regional General Manager in Zambia your main missions will be as follows :

Receiving loading orders from clients/truck drivers and verifying the loading instructions and quantities of the commodity to load against the LDC Integrated Commodity System (ICS), to ensure only the correct quantity of the right commodity is loaded into the correct truck for the correct client.
Timely requesting of loading orders in the Integrated Commodity System (ICS) for transporters coming to load and offload commodities (stock) to ensure correct quantity of the correct commodity is loaded out/offloaded from the correct truck.
Coordination of the logistical movement of commodities in and out of the site by scheduling transport and monitoring delivery schedules to ensure smooth transportation/movement of commodities.
Preparation and issuance of all receipt/dispatch documents to transporters/drivers in order to ensure quick and efficient clearance from the premises.
Physical inspection of commodities being received and dispatched to ensure that they are free of infestation and meet set quality standards.
Undertakes pest control measures by inspecting, identifying and reporting silo bags and stacks of commodities that require fumigation to prevent infestation of commodities.
Proper storage of commodities by maintaining neat, clearly labeled, well secured stacks and silo bags to maintain accuracy of inventory.
Conducting weekly/monthly stock counts and maintaining accurate and up to-date daily / weekly grain reports to ascertain the actual stock levels of the commodity and possible variances.
Adhere to Safety, Health and Environment (SHE) rules and procedures in commodity storage facilities in order to prevent SHE incidents from occurring and to ensure a safe working environment.
Coordinate with warehouse personnel on all commodity receipts and dispatches to ensure proper storage, organization, and handling of commodities, as well as yard and warehouse maintenance.
Provide general administrative support to the logistics team, including filing, data entry and report preparation to help in effective inventory management and information record keeping.
Provide timely market intelligence to management on commodity pricing and competition to ascertain commodity availability and accumulation areas on the market.
Qualifications
Experience:

2 years’ work experience in logistics and inventory management.
Experience in management of seasonal and casual labor at a busy site.
Experience in yard and warehouse management.
Knowledge:

Effective communication skills to liaise with internal teams and external clients/partners.
Proficiency in Microsoft office packages, such as Microsoft Excel and Word.
Excellent attention to detail and accuracy in record-keeping.
Good or fair understanding of weighbridge operation.
Excellent knowledge of SHE rules and regulations.
Good understanding of grain storage and handling.
Knowledge of transport regulations and customs procedures.
Strong organization and interpersonal skills.
Education:

Grade Twelve Certificate with 5 O’levels or equivalent.
Advanced certificate or its equivalent in information communication technology (ICT), Diploma in Transport & Logistics or any other qualification relevant to the role.
Languages:

Able to read, write and understand English as an official language.
Able to speak at least one of the local Zambia languages in area of operation.
Systems:

Basic ability to use and understand excel to enable gathering of data and generation of basic reports.
Willingness to take on new responsibilities as needed.
Ability to multi-task and prioritize tasks effectively in a dynamic work environment.
Flexibility to adapt to changing priorities and deadlines.
