Procurement Assistant

Development Aid from People to People in Zambia (DAPP) is a locally registered NGO working with development projects within the field of education, health, agriculture, climate change and other poverty alleviation programmes. DAPP projects are carried out in all the provinces of Zambia reaching over 1 million people. Key funding partners include the Government of Zambia, national and international development organisations (USAID, EU, CDC, Global Fund, WFP and others) as well as private sector organisations.

Development Aid from People to People in Zambia (DAPP) is inviting suitably qualified and experienced persons to apply for the position of Procurement Assistant.

Job Summary

The principal purpose of the role is to provide overall backstopping support to the procurement function in line with the set guidelines and policies.

The position will be based in Ndola.

1. Job summary/responsibilities

1.1 Participates in supplier identification, physical vendor due diligence and maintenance of the vendor register.

1.2 Creates and maintains professional rapport with vendors regarding prices, products quality, availability and delivery.

1.3 Examines quotations received from suppliers to ensure compliance with specifications.

1.4 Makes arrangement with line manager to present the quotations to the Tender Committee for selection of a suitable vendor.

1.5 Gets appropriate review and approval before Purchase Orders are raised and issued.

1.6 Raises orders specifying the type and quantity of goods or services required.

1.7 Transmits and prioritizes approved Purchase Orders and supporting documents to suppliers.

1.8 Reviews, updates, and maintains Purchase Order records until they are closed.

1.9 Tracks deliveries and makes sure the projects receive exactly what was ordered from suppliers.

1.10 Liaises with the Administrator, or other designated staff, to ensure that all the goods received are adequately recorded.

1.11 Regularly monitors and tracks purchase orders to ensure timely delivery and receipt of goods.

1.12 Follows up processing of payments after receipt of goods.

1.13 Maintains complete physical and electronic records, of all procurement documents, e.g. copies of orders, quotations, tender documents, various reports, etc.

1.14 Co-ordinates procurement meetings and appointments and responds to inquiries as required.

2. Basic Requirements

1. Grade 12 School certificate

2. Diploma in Purchasing and Supply

3. 5 years’ experience in a reputable organisation

4. Computer Literate in Microsoft Office

Required licenses/certifications

Must be a fully paid-up member of the Zambia Institute of Purchasing & Supply (ZIPS)
