Job Description:
As an Accounts/Operations Intern, you will play a key role in supporting our Accounting and Operations departments. You will be responsible for a variety of tasks, including financial reporting, client management, operational oversight, and fleet management. This position offers a comprehensive learning experience and the opportunity to develop essential skills in a professional environment.
Duties/Responsibilities:
Accounts:
Provide support to the Accounting Department for expenses and income.
Create and update electronic records of clients in Sage, and maintain hard copies where possible.
Produce weekly and monthly reports showing income from various revenue streams.
Analyze expenses and suggest ways to manage them better to increase company profitability.
Perform regular tasks such as filing and data entry.
Handle communication with clients and vendors via phone, email, and in person.
Process transactions, issue cheques, update ledgers, budgets, etc.
Prepare financial reports.
Compile and produce staff leave schedules to ensure sufficient staffing.
Process monthly payroll.
File statutory returns.
Conduct bank reconciliations.
Assist with audits, fact checks, and resolve discrepancies.
Operations:
Implement operational policies such as transport and accommodation policies.
Ensure consistent recruitment of ride-hailing drivers and replace underperforming drivers within 48 hours.
Ensure drivers deposit weekly/daily cashing.
Manage utility bills, schedule vendor payments for office supplies and rentals.
Oversee contracts, insurance requirements, government regulations, and safety standards compliance.
Supervise office and apartment cleaning and maintenance.
Identify ways to improve customer experience across all TRAVAC business streams.
Coordinate procurement of materials, supplies, and equipment.
Manage office storage system, including inventory levels and usage monitoring.
Coordinate accommodation bookings for all apartments on online platforms and off.
Supervise housekeeper, gardener, and cleaners to ensure apartments meet standards.
Ensure safety and security of office premises.
Oversee maintenance of office supplies and equipment.
Serve as liaison with office landlord.
Handle client check-in and check-out in TRAVAC apartments.
Take client photographs and create well-labeled folders in TRAVAC Google Drive.
Write monthly reports as needed.
Fleet Management:
Supervise maintenance works on various motor vehicles conducted by the maintenance team.
Ensure vehicles allocated to TRAVAC Ride Hailing are operational and reduce downtime.
Maintain a minimum of 8 vehicles operating under Ride Hailing at all times.
Ensure each vehicle is serviced at least once a month.
Maintain records of all incident reports and ensure follow-through with Police reports when necessary.
Handle car rental services, including paperwork and driver allowances.
Carry out other duties necessary to accomplish TRAVAC objectives, as assigned by the Supervisor.
Desired Qualifications:
Degree in Accounting, Finance, or a related field.
Strong critical thinking, problem-solving, and supervisory skills.
Excellent written and verbal English skills.
Strong communication and interpersonal skills.
Computer literate; proficiency in Microsoft Office & Google Workspace.
Valid driver’s license.
Strong organizational skills.
