Sponsor Relations Officer (SRO) Chongwe Child Development Agency

Reports to: Program and Sponsorship Coordinator (PSC)
Job Location: CCDA Office – Chongwe
Core Purpose: To provide quality control through spot check of correspondence from sponsorship areas; facilitating development of quality standards/tools; building capacities of Program Officers (PO’s) and Communication Agents (CA’s) in new sponsorship trends and based on identified gaps; managing donor inquiries in the system and building and maintaining appropriate donor/sponsor relations.
Major Responsibilities:
1. Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy
2. Strategy: Participating and contributing to the development of the sponsorship strategies, priorities and plans; working closely with the CA’s, PO’s and PSC to implement sponsorship priorities efficiently and effectively; Supporting the development and implementation of sponsorship innovations aimed at improving donor satisfaction and retention. Supporting the realization of sponsorship annual operations plan.
3. Capacity building: Working with the PSC to develop appropriate training tools based on identified needs. Supporting the sponsorship unit to identify capacity building needs for relevant staff and volunteers to improve their ability to deliver quality materials.
4. Quality Control: Working with PSC to develop tools to always support compliance to high sponsorship standards. Scrutinising all in-coming and outgoing mail to ensure high quality standards are maintained. Preparing reports on rejected mails and proposed corrective actions for sharing with all concerned parties. Working with the PSC to develop, monitor and implement the established checks and controls for sponsor information in line with the child sponsorship standards. Supporting the use of sponsorship monitoring and reporting tools by all relevant staff.
5. Sponsorship management. Generating Mail Control Slips (MCS) for all mails and send to areas on a daily basis. Generating proactive reports from the sponsorship systems, as well as monitoring unusual occurrences and developing appropriate reports. Coordinating sponsor visits. Supporting the CA’s and PO’s with mailing. Supporting the PSC in analysis and use of the sponsorship performance information and data from the area offices for management’s decisions.
a. Ensuring the office has zero pending in all materials by proactively following up areas lagging behind.
6. Donor Inquiries: Working with the PSC in the management of donor inquiries in a timely manner. Ensuring responses meet the required quality, and if not, provide timely feedback.
7. Documentation: Contributing to the organizational learning by supporting the documentation of critical lessons learned in sponsorship, quality improvement through operational research and critical reflection activities as appropriate. Using the expertise and the experiences of ChildFund to support the development of common sponsorship guidelines and tools for CA’s and PO’s
8. Conducting periodic monitoring visits to provide support supervision to Community Associations.
9. Performing any other duties that may, from time to time, be assigned by the immediate supervisor.
Qualifications, Experience and Skills

Diploma in Computer Studies, Journalism/Communication or Development studies or equivalent. A bachelor’s degree is preferred.
Demonstrated experience and skills in people management
Should poses strong negotiation skills
Excellent oral and written communication skills
Commitment to lifelong learning
Work with minimum supervision.
Ability to make good judgments
Ability to embrace diversity and be sensitive to it
Ability to produce results
Ensures high level of quality and customer service
Completes tasks in a timely, cost-effective way
