We are seeking a highly organized and friendly Receptionist and Administrative Assistant to join our team. As the first point of contact for visitors and callers, you will provide exceptional customer service, ensure seamless day-to-day operations, and support our team with administrative tasks.
Key Responsibilities:
– Welcome visitors, answer phone calls, and respond to emails in a professional and courteous manner
– Manage and maintain the reception area, ensuring a welcoming and organized environment
– Provide administrative support to the team, including preparing documents, scheduling appointments, and making travel arrangements
– Maintain accurate and up-to-date records, files, and databases
– Handle incoming and outgoing mail, packages, and deliveries
– Assist with event planning, coordination, and execution
– Perform various tasks and projects as assigned by management
Requirements:
– Diploma in Business Administration or equivalent required
– 1-2 years of experience in a receptionist or administrative role
– Excellent communication, interpersonal, and customer service skills
– Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
– Ability to work in a fast-paced environment, prioritize tasks, and meet deadlines
– Discretion and confidentiality when handling sensitive information
– Team player with a positive attitude and adaptability
– Attention to detail
– Able to work with minimum supervision
Nice to Have:
– Experience with graphics design will be an added advantage
– Social media savvy and ability to maintain company presence
– Basic bookkeeping or accounting knowledge
