Zambian Electric Mobility and Innovation Alliance (ZEMIA) is a leading non-profit organization and the first Civil Society in Zambia dedicated to supporting the adoption, development, and growth of the electric mobility (EV) ecosystem in the country and region.
We are inviting applications to fill the position of an Office Assistant.
Job Title: Office Assistant
Location: Lusaka
Job Type: Part-Time
Job Purpose
The job purpose of an Office Assistant is to provide high-level administrative and logistical support to ensure the efficient functioning of the ZEMIA office.
Responsibilities:
Calendar & Scheduling: Coordinate the ZEMIA Office calendar and manage appointments.
Communication Management: Handle emails, phone calls, and correspondence, ensuring timely responses.
Stakeholder Liaison: Act as a liaison between the Office and internal/external stakeholders.
Meeting Preparation: Prepare meeting agendas, materials; attend meetings, take minutes, and follow up on action items.
Event Coordination: Support the planning and execution of corporate events, managing logistics.
Administrative Support: Handle administrative duties such as expense reports, filing, and document management.
Office Management: Maintain organized files, ensuring accessibility and security of company records.
Confidentiality: Handle sensitive information with discretion and maintain confidentiality.
Procurement and Inventory: Manage procurement of office supplies and maintain inventory.
Reporting: Generate reports and present insights for leadership review.
Requirements:
Education: Diploma/Bachelor’s degree from a recognized university.
Experience: A minimum of 2 years of experience as an Office Assistant or executive assistant or administrative officer is preferred.
Skills:
- Professional demeanour and strong interpersonal abilities.
- Proficiency in Microsoft Office and scheduling software.
- Strong organizational, time management, and project management skills.
- Ability to manage multiple tasks simultaneously and adapt to changing priorities.
- Excellent communication skills, both written and verbal.
- High level of discretion, integrity, and ability to handle confidential matters.
- Flexibility to work occasional evenings or weekends, as required.
